Top Tips & Best Practices for Using The Site Diary

Easily keep track of your daily site activities, manage attendance, and generate automated summaries with the Site Diary feature. Your Site Diary is the best way to track your daily site activity, as well as providing a reliable historical record of everything that took place on your project.

Use a Template for your Daily Description

Streamline your daily entries by creating and duplicating a custom template.

To keep your Site Diary entries consistent, you can create a template with key headings that capture important site activities. Here’s a recommended template with headings you might want to include in each diary:

Description of Work Carried Out: A summary of the tasks completed on site that day.

Roadblocks/Challenges: Any issues or delays that affected progress, such as weather, equipment failure, or material shortages.

Changes/Variations to Work: Any deviations from the planned work, such as design changes, additional tasks, or revised deadlines.

Deliveries: A list of any materials or equipment that arrived on site during the day.

Safety Incidents: Any safety-related incidents or near misses

Notes/Additional Comments: Any other relevant information or observations for the day.

Once you’ve added these headings, save the entry. You can then duplicate this template for future days by selecting Duplicate in the menu, choosing a new date, and reusing the same format.

Helpful Tips!

  • To save time, use the microphone to record your voice instead of typing your description.

  • Upload all the photos you captured throughout the day to ensure they are securely backed up in the one place.

Record accurate attendance data

In the Site Diary, attendance is automatically captured when workers sign on and off. This information is grouped by subcontractor for easy reference. However, there may be times when you'll need to manually modify or update these records. Here's how:


The worker hasn't signed off

Under the Attendance heading, if you see a small yellow clock symbol next to the subcontractor's name, it means the worker has not signed off. If a worker hasn't signed off, you can manually sign them off.

I need to modify or add a workers attendance

You can adjust the workers' time if you believe they have entered the incorrect sign-in and sign-off details. Any change you make to the workers' hours in the site diary will not be visible to the worker, and the time you enter will override what they have entered

Select the worker's name from the dropdown list (if not already listed) and now adjust the hours by entering new start and end times for the day.

Add relevant comments in the notes section, e.g., "left early due to weather" or "worked overtime on kitchen installation.

Helpful Tip!

  • Duplicating Hours: Use the Duplicate function to quickly apply the same hours to other workers.

  • Modifying attendance in the Site Diary overrides the sign-on record and is only visible to you, ensuring accurate attendance and work hour tracking
